On-Demand Spine Labels -- Dymo LabelWriter 450


Why use on-demand spine labels?

If your library uses SmartPort to do most cataloging (or even if you dont), it might be a time-saver if you print your spine labels as new items are created. This guide will work through the steps necessary to set up a Dymo LabelWriter series label printer so that a spine label will automatically be printed each time you create a new item with the Call Number & Item Maintenance Wizard in Symphony Workflows.

We've also created some label templates for you based on two two different brands of label stock. You can either use them "out of the box", or customize/save one as your own.

 

How to set this up for a Dymo 450 Turbo printer and a computer running Symphony Workflows:

First, Install the Dymo 450 printer:

  • Insert the driver cd (ships with the printer).
  • Install the Dymo software. Use the "express installation option".
  • When prompted, connect the printer's usb cable into your computer.

Configure Workflows:

  • Set the printer defaults: go to File > Print Setup. Locate your Dymo printer & set it as your default printer.
  • Configure the Call Number & Item Maintenace wizard to print labels automatically:

Log into workflows as a supervisor. Right click on "Call Number & Item Maintenance wizard, then select properties > behavior tab. Check the "print labels for new items" box. If you may be using more than one type of label, also check the "Prompt for label template" to be able to choose which type of label each time you print. Click OK. Log out of Workflows as a supervisor, then log back in as a normal user.

  • Select your default template to use: go to the "Label Designer" wizard. Highlight the template you wish to use by default, then click the "Default" button.

Pre-Built label templates in Workflows:

Dymo450 DuraRdy Type 1 Small:

  • Alphabetical portion of the call number (i.e. KUR)
  • Entire Dewey number (i.e. 789.654)
  • Any alphabetical characters that appear in the call number after a space.
  • Copy number (i.e. c.5)

Dymo450 DuraRdy Type 2 Small:

  • Alphabetical portion of the call number (i.e. KUR)
  • Dewey number to the period (i.e. 789)
  • Dewey number from the period (i.e. .654)
  • Any alphabetical characters that appear in the call number after a space.
  • Copy number (i.e. c.6)

Dymo450 DuraRdy Type 3 Small:

  • The Home location of the item (i.e. STACKS)
  • Alphabetical portion of the call number (i.e. KUR)
  • Entire Dewey number (i.e. 789.654)
  • Copy number (i.e. c.7)

General tips for designing your own templates:

The label designer wizard can be quirky. Because of this, you must define your settings in the "page" tab first, then, set up your "label set" to the same dimensions (as long as you're printing single labels on a roll). Finally, use the "label" tab to set the font size/weight and apply a margin.

Page Settings:

  • Margins = should be set to zero.
  • Paper size = custom
  • Width: this needs to be set for the exact width of the full label (backing included).
  • Height: this needs to be set for the exact height of the full label (backing included).
  • Measurement Units = Inches

Label Set Settings:

  • Width: this needs to be set for the exact width of the full label (backing included).
  • Height: this needs to be set for the exact height of the full label (backing included).
  • Number Across = 1
  • Number Down = 1
  • Label Sets Per Item = 1

Label Settings:

  • Top position = 0.00"
  • Left position = 0.00"
  • Dimensions: Width = 1.37"
  • Dimensions: Height = 1.87"
  • Text Margins: (Horizontal AND Vertical) = Measure the area between the edge of the backing and the edge of the label itself in inches. Convert to a decimal. That's your margin.
  • Font Settings: Arial Black, 11pt --You can use whichever font you'd like. We've found that Arial Black (11pt) is very readable.
